Position Summary      

Amacon is looking for an organized, self-motivated, Residential Property Manager in the downtown Vancouver office. This position will be responsible for the management of a portfolio of commercial properties within the greater Vancouver area, including the operation, physical condition, financial performance and leasing.

General Responsibilities

  • To monitor and respond to emergency pages.
  • Responsible for hiring, firing, supervision and coordination of all Resident Managers.
  • Ensure that the Resident Managers rent all suites as soon as possible.
  • Schedule all contractors and vendors efficiently to economize time and money.
  • Inspect vacant suites for maintenance and ensure they are properly cleaned prior to re-renting.
  • Ensure building is properly maintained including all common areas, underground, exterior and landscaping.
  • Hire, fire, supervise and coordinate landscapers, painters and maintenance employees as required.
  • Responsible for approving Resident Managers payroll including salary, in-suite hours, expense reports, vacations, etc.
  • Responsible for approving maintenance and landscape employee’s timesheets and vacation pay for payroll.
  • Ensure that all paperwork is completed and forwarded to office.
  • Provide supplies to Resident Managers as required in a timely manner.
  • Issue purchase orders (work records) for all supplies and work approved.
  • Follow up and administer all tenancy branch disputes/complaints to ensure that tenant inquiries are followed up in a timely manner.
  • Ensure that all move-out charges are properly charged to vacating tenants prior to releasing security deposits.
  • Ensure security deposits are released as required under the Tenancy Act.
  • Ensure vacant suites are advertised as soon as possible i.e. Signs, Newspaper, Craigslist or Internet, etc.
  • Annually review market value of rents to ensure appropriate increases relative to market.
  • To be aware of and ensure that capital improvements and major maintenance concerns are communicated to management regularly.
  • Ensure Property Managers are supplied with adequate stock of forms and paperwork.
  • Provide orientation and proper training to all new Resident Managers as soon as possible.
  • Property Manager should spend 1st day with new Resident Manager to ensure smooth transition and clear old manager’s records, update keys, status of suites, etc.
  • Prior to releasing final pay and separation papers to a terminated Resident Manager ensure all keys, tools, supplies, office equipment, vacuum, etc are in order.
  • Inspect all vacant units when at the Property (leaks, cleanliness, squatters, etc.)

Cash Collection Management

  • Ensure all security deposits are properly collected and deposited.
  • Ensure all rents are collected and deposited by Resident Managers as soon as possible.
  • Verify deposits monthly to ensure above is done.
  • Follow up late, unpaid rent, NSF’s, skips and vacancy loss with Resident Managers.
  • Prepare uncollectable rent information and forward to collection agency monthly.
  • Follow up collection agency progress periodically or as required.

Qualifications

  • Experience: 3+ years related property management experience with residential properties
  • Education: University degree in a related discipline preferred
  • Maintains Rental Property Management Services (BC) license through recertification program
  • Must possess and maintain a valid driver’s license and have access to a vehicle
  • Understanding of basic handyman and construction work
  • Self-motivated with strong initiative
  • Proven capabilities in multi-tasking, problem solving and prioritizing workloads
  • Very organized with a high level of maturity
  • Able to work independently and achieve results
  • Ability to maintain a high level of accuracy and confidentiality
  • Excellent communication; verbal, written and listening skills
  • Strong attention to detail and high level of accuracy
  • Effective organizational skills and the ability to multi-task
  • Computer Skills: Strong knowledge of Word, Excel, Outlook
